For the purposes of the GDPR, Baraka UK Deed Poll is the ‘controller’ of the personal data you provide to us.

We assure you that the Change of Name Deed issued by Baraka UK Deed Poll is legally binding, and as such, it will be accepted by UK record holders, including the Passport Office, DVLA, HMRC, banks, and similar institutions (excluding foreign embassies and consulates).
If any UK-based organization rejects your Deed Poll as proof of your name change, you will be entitled to a full refund of the fees paid to us. This will be subject to providing satisfactory evidence of the refusal and compliance with any reasonable requests we may have. This constitutes the extent of our liability.
Refunds will be processed within 2-5 working days.
Please note that our guarantee does not apply if:
- Your Deed Poll was incorrectly completed, signed, or witnessed.
- Your Deed Poll is not accepted by a non-UK record holder, such as a foreign government, embassy or consulate.
- You are attempting to change your name to suggest a title you do not legally hold.
- The record holder’s parental consent requirements have not been fulfilled.
- The record holder requires additional documentation proving that you are using your new name for “all purposes.” For instance, certain banks or the General Medical Council may require you to present your passport in your new name before acknowledging the change. Similarly, the Passport Office may ask for further evidence showing you have adopted your new name in all aspects of your life.
- The record holder believes your new name violates their policy on inappropriate or temporary name changes.
- The Passport Office rejects your application as a dual national because you haven’t changed the name on your other passport.

Cancellation
The following information is provided in accordance with The Consumer Contracts (Information, Cancellation, and Additional Charges) Regulations, and The Distance Selling Regulations.
Under these Regulations, you have the right to cancel your order within 14 days of submitting your application. However, as we begin preparing your Deed Poll documentation before the end of the cancellation period (fully performing the service you requested), your cancellation rights are limited to the time between when you submit your application and when we start preparing your Deed Poll documents. This is in accordance with section 36(2) of the Regulations. By placing an order, you agree to waive your 14-day cancellation rights under the Regulations. Therefore, if you wish to cancel and receive a full refund (if payment has been made), you must inform us via email before we start preparing your Deed Poll documentation.
Mistakes
If you made an error in the Application form, you must notify us within 28 days of receiving your documents. In this case, you will need to place a new order and pay for the corrected Deed Poll.
If we are responsible for the mistake, we will issue a free replacement, which will be dispatched within 1-2 working days. Our mistake will be identified if the details on your Deed Poll do not match the information you provided in the Application Form. You must inform us of any such errors within 28 days of receiving your documents.

In Person Application (previous booking):
- £50.00 for the your Deed Poll.

Personal Data Collection
We may collect and process the personal data that you share with us when you fill in the Application Form on our Website. Also, we may collect your data when you correspond with us by phone, e-mail, or in writing.
In case of a Child Deed Poll, if you provide information to us about any person other than yourself, particularly the data of the child and the other parent/guardian, you must ensure that they understand how their information will be used, and that they have given their permission for you to disclose it to us and for you to allow us.
How do we use your personal data?
We will process your personal data only for the purpose of drafting your Deed Poll. We will never share your personal data with external services or providers, unless if required by Law, including responding to requests by government or law enforcement authorities, or for the prevention of crime or fraud.
We take all reasonable steps to ensure that our staff protect your personal data and are aware of their information security obligations in relation to the confidentiality, security, and lawful processing of any personal data.
We will retain your personal data in our database for a period of five years, to ensure we are able to comply with any contractual, legal, audit and other regulatory requirements, or any orders from competent courts or authorities.
We take reasonable steps to protect your personal data from loss or destruction. Once we have received your personal data, we will use strict procedures and security features to prevent unauthorised access.
Your rights to access, rectify and erase your data
Under the GDPR, you have various rights with respect to our use of your personal data:
- You have the right to request a copy of the personal data that we hold about you by contacting us at the email or postal address given below. Please include with your request information that will enable us to verify your identity. We will respond with 30 days of request. Please note that there are exceptions to this right. We may be unable to make all information available to you if, for example, making the information available to you would reveal personal data about another person, if we are legally prevented from disclosing such information. Or if your request is manifestly unfounded or excessive.
- We aim to keep your personal data accurate and complete. We encourage you to contact us using the contact details provided below to let us know if any of your personal data is not accurate or changes, so that we can keep your personal data up-to-date.
- You have the right to request the deletion of your personal data where, for example, the personal data are no longer necessary for the purposes for which they were collected, where you withdraw your consent to processing, where there is no overriding legitimate interest for us to continue to process your personal data, or your personal data has been unlawfully processed. Product Type and What You Will Receive
The product provided is a Deed Poll (Deed of Change of Name). We use 160gsm high quality cream coloured paper, and each document will contain anti-forgery features: our Hologram, Embossed Red Seal and Gold Crest.
The envelope you receive will contain:
- One Deed Poll.
- Any duplicate copies you ordered.
- The Instructions Guide, including a Cover Letter example and a list of organizations you may need to notify.
- The Tree Planting Certificate in your new name (we plant a tree for every Deed Poll we process).
